AI AUTOMATION // INTAKE

AI automation that answers the phone, qualifies the lead, and books the job.

WynterIX is an AI automation agency for service businesses. We build systems that answer every call, qualify every lead, follow up without reminders, book the appointment, and report what happened. Everything runs on accounts you own, is tested on real traffic, and is handed over documented, so it keeps working with or without us.

Where automation pays in a service business

A service business rarely loses revenue for lack of leads. It loses it in the gap between an inquiry and a response. The job of automation is not to create more demand. It is to stop wasting the demand you already paid for.

  • Missed-call response: when a call goes unanswered, a text goes back within a minute, so the caller does not ring the next name on the list.
  • Lead qualification: a short set of questions separates the job you want from the job you do not, before anyone spends time on a callback.
  • Follow-up sequences: quotes that go quiet get a planned series of messages instead of one hopeful email.
  • Scheduling: qualified leads book straight into real calendar availability, with confirmations and reminders.
  • Review requests: a finished job triggers a review request at the moment the client is most satisfied.
  • Reporting: every lead, source, and outcome lands in one place, without anyone building a spreadsheet by hand.

We quantify with your numbers, not ours. If you miss calls after hours and an average job is worth thousands, the arithmetic is short: recover a few of those calls a month and the build has paid for itself. We run that math with you before we build anything, and we tell you when it does not add up.

The gap is widest in home services and trades, where a homeowner calls three contractors and hires the first one who answers. It matters just as much anywhere a buyer is comparing options and the fastest credible reply wins.

Six automations wired into one path, from the first call to the booked job.

Voice and chat agents, used with judgment

An AI voice agent is software that answers a phone call, holds a spoken conversation, and takes an action such as booking or routing the caller. A chat agent does the same work in text. Both are useful in the right seat and harmful in the wrong one.

Where an agent fits

  • After-hours calls that would otherwise reach voicemail
  • Overflow when every line is busy
  • First-pass qualification: service, location, timing, budget
  • Booking into open calendar slots
  • Routine questions about service area and availability

Where it does not

  • Complex consultations where the buyer needs a person
  • Regulated intake such as clinical or legal screening
  • Emergencies that need a human now
  • Callers who are already upset

We will say no to an agent that would hurt your reputation. If your buyers expect a person, they get a person, and the automation works behind that person instead of in front of them. An agent always identifies itself and always offers a human handoff.

Built on accounts you control

Every automation we build lives in accounts you own: your phone system, your calendar, your automation platform, and your CRM. A CRM, or customer relationship management system, is the software where your leads, contacts, and deals are tracked. We work inside yours with access you grant and can revoke.

You receive handover documentation for each automation: what triggers it, what it does, where it runs, and how to switch it off. If we part ways, nothing stops working, and nothing needs our permission to change.

This is deliberate. An agency that hosts your automations on its own accounts has built a reason for you to stay that has nothing to do with results. We would rather earn the renewal. The ownership and handover rules that apply to every engagement are set out in how we work.

How an automation project runs

  1. Process map

We trace how a lead moves through your business today, from first contact to booked job, and mark where it stalls or leaks. You approve the map and the build plan before anything is built.

  2. Build

We build on your accounts, starting with whatever recovers the most lost opportunity. Messages are written in your voice, and every rule is visible and editable.

  3. Test with real traffic

Automations are tested against real calls and forms, not demo data. We watch the first live runs and fix what real buyers break.

  4. Handover

You receive the documentation, the access, and a walkthrough with the people who will run it on your side.

  5. 30-day tuning

For 30 days after launch we adjust timing, wording, and qualification rules against what actually happens.

A single automation, such as an AI receptionist or a follow-up sequence, is scoped and quoted as a project. The floor for automation projects is published on our pricing page. Larger systems run inside a retainer, covered below.

Automation inside the PERMAFROST system

Automation is strongest at the end of a pipeline that already produces demand. PERMAFROST is our full client acquisition system: search visibility, the website, conversion work, and the automation behind intake, run as one program with one owner.

  1. Captured: every call and form is logged the moment it arrives, with the page and search that produced it.
  2. Qualified: the lead answers the questions that decide whether it is worth a callback, while interest is highest.
  3. Routed: good leads go to the right person or straight to the calendar, and poor fits get a polite, useful reply.
  4. Attributed: the lead is followed through your CRM to booked or lost, so the monthly report shows what each source produced.

Attribution means knowing which page, search, or channel produced a given lead. Without it, you cannot tell which work is paying and which is noise. With it, every decision about the site and the search program is made on booked work, not on traffic.

What to expect, and when

  1. MONTH 1

    Foundations

Technical fixes, tracking, content architecture, first builds.

MEASURABLE: Crawl health, indexation, baseline citations

  2. MONTHS 2 TO 3

    Activation

Pages live, entity and schema work, first AI citations, first ranking movement on long-tail terms.

MEASURABLE: Impressions, first page-two and page-one entries, first AI mentions

  3. MONTHS 4 TO 6

    Compounding

Head terms move, citation share grows, automation is fully wired, leads are attributed.

MEASURABLE: Qualified leads per month and cost per qualified lead

  4. MONTHS 7 TO 12

    Defend and expand

New markets, new service lines, more of what worked.

MEASURABLE: Growth against the month six baseline

Automation moves faster than search. A single build is usually live within the first month and tuned by the end of the second. Inside PERMAFROST, intake automation goes live in the activation phase and is fully attributed by the compounding phase, when there is enough traffic to judge it fairly.

Ninety days is our minimum because it is the shortest period in which anything we do becomes measurable. If someone promises a turnaround in thirty days, they are selling you the promise, not the turnaround.

Frequently asked

What tools do you use?

We work in categories: call tracking and telephony, CRM, calendar and scheduling, workflow automation platforms, and AI voice and language models. Within each category we choose based on what you already run and what your team can maintain. We name no tool as an endorsement, because the right choice depends on your stack.

Will it sound like a robot?

A well-built voice agent sounds calm and clear, but it never pretends to be a person. We write its scripts in your voice, keep conversations short, and hand off to a human the moment a caller asks. If the result would not represent your business well, we do not ship it.

What happens if it breaks?

Every automation is built with monitoring and a fallback, so a failed step sends an alert and routes the lead to a person instead of losing it. During the tuning window and any retainer, fixes are ours. After handover, the documentation shows exactly what runs where, so any competent developer can repair it.

Do you need access to my CRM?

Yes, as a user on an account you own and can remove at any time. We need it to tag leads with their source, move them through stages, and report on booked and lost work. You grant the access and you take it back when you choose.

Can I buy automation without a retainer?

Yes. A single automation is sold as a standalone project with documentation, testing on real traffic, and 30 days of tuning. Many clients start there and add the full system later, once they see what a faster response does to booked work.

Does automation work for regulated practices?

It can, within limits. For practices with regulated intake, we automate scheduling, reminders, and follow-up, and leave clinical or legal screening with a person. We tell you where that line sits before we build, not after.
